What is workflow automation?
Workflow automation is setting up a sequence of tasks to run automatically based on triggers and rules, so information and work move between people and tools without manual handoffs.
Every process is a workflow: a trigger (a form is submitted, a payment clears, a deal closes), followed by a series of steps (create a record, send an email, assign a task, update a status).
When those steps are manual, things stall in the gaps between tools and people. Workflow automation closes those gaps. A trigger in one system kicks off the right actions in every other system, in the right order, every time.
Good workflow automation is also visible and recoverable. We build in alerts and logs so that when something unexpected happens, your team knows right away instead of finding out from an unhappy client.
You need workflow automation if…
- Work stalls whenever it moves between people or tools
- The same information lives in three places and never matches
- Your team relies on Slack messages to know what's next
- Statuses are updated by hand, or not at all
- New hires need weeks to learn "how things work"
- Mistakes trace back to a missed manual step
Workflows we design and build
We work across your stack: CRMs, form builders, email and SMS platforms, payment processors, scheduling tools, spreadsheets, and project management apps.
Form-to-CRM pipelines
Every inquiry lands in your CRM, gets tagged and routed, and triggers the right follow-up.
Approval workflows
Requests route to the right person, with reminders and an audit trail, instead of living in an inbox.
Handoff automations
When sales closes, delivery starts, with tasks, folders, and kickoff messages created automatically.
Status & notification flows
Clients and teammates get updates at each stage without anyone typing them.
Data sync between tools
Contacts, orders, and payments stay consistent across systems, with one source of truth.
Custom integrations
When off-the-shelf connectors fall short, we build custom integrations and internal tools.
Our process
Map
We document the workflow as it really runs today, including the workarounds.
Design
We define triggers, rules, owners, and exceptions, and remove steps that don't add value.
Build
We implement the workflow in your tools with testing, logging, and failure alerts.
Measure
We track cycle time and error rates, then refine the workflow as your business grows.
Workflow automation examples
Admissions workflow
Application submitted → documents requested → fee collected → reviewer assigned → applicant notified.
Order workflow
Order placed → inventory checked → fulfillment notified → customer updated → review requested.
Client onboarding workflow
Contract signed → invoice sent → intake form → project created → kickoff scheduled.
Hiring workflow
Candidate applies → screened → interview booked → offer sent → onboarding checklist created.
Operators, not observers.
Workflow automation fails when it's built by someone who doesn't understand operations. We approach every workflow as operators, with 9+ years of operations management and Lean Six Sigma training behind how we design processes.
And when the tools run out of road, we can build. We designed and developed Completra, a full platform built around complex admissions and compliance workflows.
Workflow Automation questions
What is an example of workflow automation?
A new lead fills out a form on your website. Automatically, they're added to your CRM, tagged by service, sent a personalized reply with a booking link, and assigned to the right salesperson, who gets a task with a due date. No one touches it until the conversation starts.
Which workflow automation tools do you use?
We work with the tools you already have, including CRMs, form builders, email and SMS platforms, payment processors, scheduling tools, spreadsheets, and project management apps, and connect them with automation platforms or custom code when needed. We recommend tools based on fit, not habit.
Is workflow automation the same as business process automation?
They overlap. Business automation is the broader effort to run business processes with less manual work. Workflow automation focuses specifically on the sequence of steps and handoffs inside those processes.
What happens when an automated workflow breaks?
We design for it. Our workflows include error alerts, logs, and clear fallback steps, so your team is notified immediately and knows exactly how to recover.
How long does it take to automate a workflow?
It depends on the number of tools and steps involved. A focused workflow can often be live quickly, while a multi-department process takes longer. We scope it clearly on a discovery call.
